π What are sessions?
A session is an activity that includes one or more events (such as trainings or webinars). Learners must attend the scheduled events in order to complete the session.

A session can contain one of more section
Sections can contain one or more events
A learner can only attend one of the sections.
Only once they have attended all of the events within that specific section will the session activity tile be marked as completed.
1. Enabling sessions βοΈ
Before creating sessions, make sure the feature is turned on:
Go to Control > Settings > Features
Under Content management & delivery, find and enable Sessions
In the settings, it is then possible to configure the email and notifications sent to leaners.
Configure email and notification in the settings for sessions to control what learners receive when the events are full, reminders for events, etc.
2. Setting up groups and user roles π₯
One type of groups are required for sessions:
Trainers group: Can create, manage, and attend events
Role: Trainer role, specified to a group
Make sure roles are set up before creating automations.

3. Creating a session π
You can create a session from Control in two ways:
Option 1: From the Content > Activity
Go to Control > Content > Activities
Click Create new activity
Choose Session as the activity type
Fill in the session details
Save and publish
Option 2: From Content > Sessions
Go to Control > Content > Sessions
Click Add new session
Fill in the session details
Save and publish
How to use sessions in your platform?
Once a session is created, you can:
Add it to a programme
Include it in a journey
Show it as a featured activity in the widget
Add it to a learnerβs to-do list
Track completion based on event attendance
4. Setting up automations to unlock sessions π€
Once your trainer groups/roles is set up, the next step is to unlock the session activity for each group using automations.
Youβll need to create separate automations:
One for trainers, so they can access and manage the session, or be added as trainers for sessions.
One for participants, so they can see the specific sessions as part of the activity, and later, register and attend events in sessions

This example automation unlocks both the Sessions widget and a specific session activity for the Trainers group.
Repeat the same steps for participant groups using their group conditions. Select which groups of learners will have access to the the session.
If a user has access to the session through the widget but not to events, they will see the session tile, but will not be shown any events to register to.
If a user does have access to the session through the widget, they will not be able to access the events.

5. Accessing a session on LXP π§
π If youβre a trainer, youβll only see sessions relevant to your assigned groups.
β Step 2: Add or Edit a Session
β If the user is an Admin:
Hover over a session tile (e.g. Sales training 101) and click the two dots in the top right.
Youβll see the following options:
Edit activity: Opens the session in Control, where you can change the name, image, settings, etc.
View activity automations: See or set up automation rules for unlocking or personalizing the session.
View activity reporting: View analytics and progress related to this session.
All three actions will take the admin to Control.
π§βπ« If the user is a Trainer (but not an admin):
Clicking on a session tile will take the trainer directly into the session, where they can:
Create or edit sections for the session
Add events within a section
And more
Trainers will not see the two-dot menu or access to Control
6. Creating sections to a session π©
Once a session is unlocked through automation, admins and trainers can create sections directly in the LXP.
π§± Hereβs how it works:
Open the session activity in the LXP
Click + to create a new section
Fill in the fields
Name, groups, registration period, capacity, and other preferences
Each section must have at least one event to be saved (see next step to create an event)
π₯ Important:
Participants can only register for one section per session
They must attend all events within that section to complete the session activity tile

7. Adding events to a section π§βπ«
Once a section is created, trainers need to add one or more events to it.
Click + Add event inside the section
Set the date, time, format (online, in-person, hybrid)
Assign a trainer (see π Sessions and groups)
Add optional notes, links, or location info
π₯ Important:
Each new event must happen after the previous one.
Learners registered to the section are automatically registered to all events.

8. Learner registration and attendance confirmation
Learners can register for a session by selecting one of its sections. Once registered, they are automatically signed up for all events within that section.
Learners can also be manually added by admins/trainers.
Attendance may be tracked and needs to be confirmed by a trainer or admin (if required) for the session to be marked as complete.

π Remember
π¦ A session is just an empty activity card until events are added
Learners cannot register or complete a session without at least one event.
π Users must be deregistered from a section before registering to a new one
Participants can only be part of one section per session at a time.
π Once a section has registered participants, you canβt remove the original group
You can still add additional groups, but the initial group remains locked in.
π Events must be scheduled in order
Each new event must occur after the one before it in the section timeline.
β Attendance must be confirmed (if required)
If "Attendance to be confirmed by host" is enabled, the trainer must submit attendance before the session is marked complete.
π§βπ« Only users in a trainer group with access to the participant group can be assigned as trainers
Make sure trainer permissions are correctly set up in Control > Groups.
π§ Learners receive a confirmation email upon registration
This includes event details and allows them to add events to their calendar
βοΈ Session activities must be unlocked via automation
Both the widget and activity must be unlocked for learners to access and register.
