Guide to a user's details page in Users

When you click on a user from your Users list, you land on their user details page. This article walks you through the key sections, available fields, and actions you can take from this page.


πŸ“„ Viewing user profile details

When you open a user profile, you’ll see both standard and flexible fields:

  • Standard fields include:

    • Username

    • Email

    • Job title

    • Language

    • Contract start date

    • SAML username (if used)

  • Flexible fields are customised to your platform and may vary.


πŸ—‚ Tabs on the user page

Each tab shows a different aspect of the user’s data and activity:

  • Profile: Default view with standard and custom profile fields

  • Permissions: Shows all assigned permissions

  • Groups: Lists all groups the user belongs to

  • Reporting (or Insights): Shows the user's progress for activities

  • Audit: Activity logs and history

  • Emails: Displays all linked email addresses


πŸ—½ User statuses

On the Users page, each user has a coloured dot next to their profile photo:

  • Green dot: The user is marked as active. This means they’ve been added to the platform and received an invitation β€” but they may not have logged in yet.

  • Red dot: The user is inactive, usually due to account suspension or removal.

πŸ”₯ Important:

A green dot does not confirm a successful login. It just means the user account is active on the platform.


βš™οΈ Actions from the top-right menu

Click the three-line icon (hamburger menu) in the upper-right corner to access available actions:

Available actions include:

  • Reset LMS progress

    • The user's activity progress, badge, and to-do list progress will be reset and erased

πŸ‘€ Good to know

⚠️ This does not remove the user from the platform. Settings and automations remain unchanged.

  • Suspend

    • Provisionally suspend a user from the platform (default = 30 days).

    • What does this mean?

      • User will not be able to log in

      • Data is stored during the suspension

      • Can be unsuspended at any time

      • Suspended users in import files are reactivated automatically

      • Suspension removes user from licensing count

      • After the suspension period, the user is deleted and data is anonymised

      • Only admins can suspend/unsuspend

  • 🎨 Promote to creator / Demote creator

    • Allows or revokes Content Builder access.

  • πŸ—‘ Remove from platform (only for suspended users)

    • Permanently deletes the user and anonymises all data.

    • πŸ”₯ Important: This action cannot be undone.
