Saving and scheduling progression exports

Once you’ve created a report in Reporting > Progression, you can save it to keep the same parameters for later, or schedule it to send the same export repeatedly to selected recipients.


Understand the difference

💾 Save report

Use Save report when you want to keep the same filters and settings so you can run the report again later without rebuilding it.

🗓 Create schedule

Use Create schedule when you want the platform to generate and send the same export automatically (for example weekly or monthly).

🔥 Important:

Scheduling sends the report using the exact parameters you set when you created the report.
Completion rates shown in progression reporting are calculated per activity, journey, programme, or group.

There is no single aggregated global completion rate across all content and users.


How to save a report

  1. Go to Reporting > Progression

  2. Create a report (select the level and filters)

  3. Click Save report

  4. Enter a report name

  5. Click Save

✅ Result:

Your report configuration is saved and can be reopened later with the same parameters.


How to schedule a report export

  1. Go to Reporting > Progression

  2. Create a report (select the level and filters)

  3. Click Create schedule

    1. Configure the schedule settings (see below)


Templates to include

At the top of the schedule window, select one or more templates to include in the export:

  • Detailed progress per user

  • Progress per user

  • Progress per group

You’ll also see a quick summary of what’s included (for example: Activities: 8 and Users: 14).

🔥 Important: If you don’t select any templates, your export may not include the interpreted summary sheets you expect.


📝 Fill in the schedule settings

🏷 Report title (required)

Enter a name for the scheduled report.

💡 Tip:

Use a clear title that includes the audience and frequency (for example: “Sales onboarding progress – weekly”).

🌍 Time zone

Select the time zone the schedule should follow (for example: Europe/Amsterdam)

🕒 Start (required)

Pick the date and time you want the schedule to begin.

🔁 Repeat every

Choose how often the report should run, using:

  • A number (for example: 1)

  • A unit (for example: Week)

📅 On

Choose the day(s) the report should run (for example: Monday).


✉️ Configure the email

📩 Email recipient

Enter one or more email addresses.

(If your platform supports multiple recipients, add them one by one.)

🧾 Email subject

This is the subject line recipients will see (for example: “Learning Report 🚀”).

💬 Email message

Write a short message explaining what’s attached (for example: “Attached is the latest progression report.”).


✏️ Note:

All scheduled reports are automatically saved as a report. Once you click the "Schedule report" button, your settings will be saved, making it easy to revisit and manage your scheduled reports at any time.


🔁 Using saved reports for consistent reporting

This automation keeps your team updated on progress without any manual steps.

For future analyses, select your saved report to automatically apply the same filters and settings. This helps you keep reporting consistent over time.

💡 Tip: Save reports you run regularly (for example monthly compliance progress), so you don’t need to rebuild the same filters each time.

🔒 Restricted admin permissions

Please note: automated reports are not currently available to admins with restricted permissions. These admins can continue to export data for their own groups, but won’t yet be able to schedule reports to be sent out
