Setting up an automation to display the walkthrough and intake

Create an automation that unlocks the walkthrough and intake for the right learners at the right time

Written by Marie Xhauflair

Welcome learners with a guided start! Set up an automation that unlocks the walkthrough and intake for new learners, for everyone or only for specific groups

What are the walkthrough and intake?

  • Walkthrough: a short tour that introduces your platform and highlights key features

  • Intake: a short form that collects profile details, like a profile photo or contract start date

You can show different walkthroughs or intakes to different groups, all with automations

👀 Good to know

Read more about the walkthrough and the intake

Create the automation

  1. Go to Control > Behaviour > Automations

  2. Click Create automation

  3. Enter a name, for example Unlock intake for group: Onboarding

  4. Set the event type to Check periodically

  5. Want to target a specific audience? Add a condition, for example Is group with your group for new joiners

  6. Add the action Unlock intake/intro and select the walkthrough or intake you want to show

  7. Click Save, then Activate the automation

✏️ Tip

Different groups need a different walkthrough or intake? Repeat these steps and change the Is group condition for each audience

Check that it works

  1. Create or pick a test learner in the target group

  2. Log in as the test learner and check that the walkthrough or intake appears, this can take up to an hour because the automation checks periodically

  3. In Behaviour > Automations, open the automation and check its run history

  4. Does the intake collect fields? Submit it and check that the data shows up on the learner's profile

Troubleshooting

  • Your walkthrough or intake isn't in the dropdown? Check that it's created and published

  • The learner doesn't see it? Check that they meet the conditions, for example that they're in the target group, and that the automation is active

  • The learner is in several groups? Review your conditions and decide which automation should apply

🚧 Be careful

Have several automations for the same learners? Make sure only one of them unlocks a given walkthrough or intake, to avoid conflicts
