How to manage merging groups

Combining users from multiple groups using automations or manually update an importer file

You can re-organise subscription groups by importing updated user data or merging two groups by setting up automations. This keeps user progress intact while helping you clean up or consolidate groups.


πŸ›  Method 1: Using the user importer (for groups with sub-groups)

Use this method to reorganize users from a parent group that includes multiple sub-groups. This ensures you capture all users and import them into a new or cleaned-up group.

Step 1: Export the progression file (document 1)

  1. Go to /control > Reporting > progression > filter groups

  2. Choose the parent group that needs to change

  3. Click Export and select detailed user progression file

πŸ“„ Document 1: This export now contains user details from all sub-groups within the parent group.


Step 2: Download the user importer file (document 2)

  1. Go to Users > Integration > Importer

  2. Choose any existing importer and download the Excel sheet

Step 3: Prepare the import file

  1. In Document 2 (the importer file), delete all data but keep the column headings

  2. From Document 1 (the progression export), copy and paste relevant user data into Document 2

    • Match the data to the correct columns (you can leave non-required columns blank)

    • Ensure email, first name, last name, group, and any relevant fields are filled in

  3. Save the file (e.g. as "New import file")

Using Document 2 ensures the document that will be imported is compatible with the platform’s importer and avoids upload errors.


Step 4: Test the import on QA

  1. Go to QA of your platform

  2. Navigate to /control > User > User > Invite users > Import new users > Select file "New import file"

  3. Upload the file and confirm the results

βœ… If the upload is successful and users are in the correct groups:

  • Repeat the exact steps on the production environment


πŸ€– Method 2: Using automations (for groups without sub-groups)

There are two ways for merging users from multiple groups into one:

Option 1: Move users from one group to another

This method adds users from Group A into Group B using an automation.

  1. Go to Behaviour > Automations > Create automation

  2. Set a name and choose the event type: Check periodically

  3. Under Condition:

    1. Select Is group: [Group A] (the group to merge from)

  4. Under Action:

    1. Select Add user to group: [choose Group B]

    2. Set User source to: event β†’ user

  5. Save the automation


Option 2: Create a new group for everyone

This method moves users from multiple groups into a new group (e.g. Group C):

  1. Create a new group:

    • Go to Groups > Groups

    • Click the blue + icon next to the search bar

    • Fill in the form in the New group window and click Create group (i.e Group C)

  2. Create a new automation:

    • Set a name and choose the event type: Check periodically

    • Under Condition, choose Is group: [Group A] OR [Group B]

    • Under Action:

      • Select Add user to group: [Group C]

      • Set User source to: Event β†’ user

  3. Save the automation

The second way is cleaner if you want to avoid confusion between original group names (when there are no sub-groups)


πŸ“‹ How to confirm it worked

  1. Go to Groups > Groups and open the target group

  2. Check the People tab: bottom-right corner shows total users

  3. Go back to Automations and click the eye icon to preview affected users

    • For Option 1: Group B will include all users from Group A

    • For Option 2: Group C will include all users from Group A and B

🟒 Activate the automation when you're ready then check the number of users in the groups


βœ… What happens after users are moved

  1. User progress and activity data stays the same

  2. Users remain in their original group(s) unless you delete those groups

  3. Permissions may change depending on the settings in the new group

πŸ—‘ How to clean up the old group

After the automation has run and user counts look correct:

  1. Go to Groups > Groups

  2. Select the old group

  3. Click Delete

🏁 Good to know:

  • If Group A was created by the user importer, deleting it won’t stop it from coming back

  • The next import could recreate Group A and re-add users

  • To prevent this, update your source system so the group is no longer included
