Customizing text in notifications, invites, emails, menus and more

Where you can change the default text and working on the platform

Every learning platform has its own unique style and brand. As an admin, you can customise the text in notifications, invites, emails, menu names and buttons based on your target audience, company voice and platform branding.

All wording on the platform can be found in Control > Settings > Terminology


🔍 How to find the text you want to change

Method 1: Copy-paste search

If you know the exact text as it appears on the platform (e.g., a button label or error message), you can copy and paste it into the search bar. The system will find the matching translation key instantly.

Method 2: Browse by category

Alternatively, you can browse the categorized translation keys in the left-hand menu. Texts are grouped by function such as:

  • Application (e.g., authentication, error messages, dialogs)

  • Content (e.g., journeys, activities, sessions)

  • Dashboard (e.g., timeline, to-dos)

  • Menu (e.g., feedback, profile, reporting)

  • Other (e.g., admin toolbar, emails, notifications)

Click into a category and then expand the sub-sections to find and edit the relevant text.

Example

The texts of each notification can be found under Notifications or the corresponding feature. For example, if you want to edit the text of the invitation email sent to new users, you should go to:

  1. Copy-paste a sentence of the email (without variables)

  2. Other > emails > invite > text


✏️ How to edit the text you want to change

After selecting the translation key, you’ll see a screen like this with all available language fields. Now you can edit the text shown on the platform:

  1. Find the language you want to update (e.g., English, Dutch, French).

  2. Edit the text directly in the input field. You can use variables like:

    1. %(platform_name) to keep messages dynamic.

    2. <strong>Text</strong> → This will appear as bold in the actual message.

  3. Click “Save” or “Save and continue” when you're done editing.


💡 Tip: Keep an eye on formatting (like <strong>) and placeholders (like %{platform_name}) to ensure consistency across languages.
