Turn your manuals, SOPs, and guides into instant, searchable answers for frontline teams.
This is useful for
Rollouts that want quick results using existing materials
Situations where you’re not ready to create interactive learning content but still want to supply the right information immediately
💡 Tip:
Adding indexed PDFs is a fast way to support learners while you build out more structured learning content over time.
Step 1: Upload your assets
Go to Content > Assets in TinQwise Control
Drag and drop your PDF or supported media file into the upload area
You can also click the upload area to browse files from your computer.
💡 Tip:
Use clear file names, for example: Returns Policy - V2.pdf.
Step 2: Create a new collection
If you want an assistant to use only certain documents, first create a collection:
In the Collections panel (left side), click the + icon
Enter a name in the Identifier field
(Optional) Choose a Parent collection if you want to nest it under another group
Click Create collection
Step 3: Add assets to the collection
After creating the collection, drag and drop your asset into it
Alternatively, you can move existing assets from All Assets into a collection
🔥 Important:
If an assistant is assigned to a specific collection, it will only use the assets inside that collection. If no collection is selected, all assets are included by default.
Step 4: Enable AI indexing
When a document is uploaded or dragged into the asset library, a popup will appear.
In the popup window, toggle Enable AI processing with TinQwise NOW
Click Save
This makes the document available for TinQwise NOW to index and use in real-time responses.
Understanding AI indexing tags
Once AI processing is enabled, you may see different tags on assets:
Ready for AI: The asset has been indexed and can be used by NOW
Preparing for AI use: The asset is being processed for indexing
AI indexable: The asset is eligible to be used by NOW (if AI processing is turned on)
💡 Tip:
Indexing typically takes around one hour depending on file size.
Best Practices for Optimizing Knowledge Retrieval
To make sure TinQwise NOW can understand and use your documents effectively:
Use structured formatting like clear headings, subheadings, and bullet points
Avoid scanned documents or image-only PDFs
NOW must be able to read the actual text in the fileKeep documents short and focused if possible
Split large documents into smaller ones by topicUse meaningful file names to make documents easier to manage
